Telehealth Account Frozen or Terminated: How to Recover
By Rey Pasinli, Payments Engineer · 7 min read · LinkedIn
The short version
When a telehealth account is frozen, get the reason in writing and find out whether you were reported to MATCH, because everything else depends on those two facts. Expect a hold of up to 180 days on settled funds. Recovery means fixing the underlying cause, documenting the fix, and applying to a specialist acquirer with the full history disclosed rather than hidden.
Why did my telehealth account get frozen?
Usually one of five things: a chargeback ratio crossing the threshold, a compliance review triggered by a site or marketing change, a product classification question the bank could not resolve, volume well above what was underwritten, or a mismatch between the business the acquirer approved and the business it now sees. Sudden growth is a common and unglamorous trigger, because it changes the bank's exposure without anyone renegotiating it.
What do I do in the first 48 hours?
Two things, in order. First, get the reason in writing. A verbal explanation from support is not something you can act on or appeal. Second, establish whether you have been reported to MATCH, the card-industry terminated-merchant database, and under which reason code. That single fact determines how hard your next placement will be, and it is worth knowing immediately rather than discovering it during an application.
Then stop the bleeding operationally: notify patients before their next scheduled charge fails, because a wave of failed renewals produces exactly the disputes that make your situation worse.
How long are funds held, and can I get them released sooner?
The standard is up to 180 days on settled funds, which corresponds to the window in which cardholders can still dispute a transaction. It is not arbitrary and it is rarely waived outright, but the timeline and the amount are more negotiable than most merchants assume, particularly when you can show low dispute exposure on the held batch and a cooperative posture. Documentation and a credible advocate matter more here than volume of complaint.
Can I get a new account after a termination?
Usually yes, and the honest route is faster than the clever one. Specialist acquirers place terminated merchants routinely, provided you disclose the history, explain what caused it, and show what changed. What does not work is opening a new entity to conceal the history. Underwriters check, MATCH follows the principals as well as the business, and being caught concealing turns a solvable problem into an unplaceable one.
How do I avoid a second shutdown?
Fix the cause rather than the symptom. If disputes drove it, address the descriptor, the cancellation path, and the renewal reminders before you reapply. If compliance drove it, get the licensing and classification documentation in order and keep the site consistent with it. If volume drove it, get properly underwritten limits and consider redundancy so a single account is never a single point of failure. That redundancy work is the core of what we do on stopping payment processing problems, and you can sanity-check your current exposure with the Merchant Risk Profiler.
