How to Get a Nutraceutical or CBD Merchant Account Approved: An Underwriter's Checklist
By Rey Pasinli, Payments Engineer · 8 min read · LinkedIn
The short version
A nutraceutical or CBD merchant account gets approved when the underwriter can confirm three things: a legitimate, well-documented business; a website and marketing that stay clear of prohibited claims and imagery; and financials plus a reserve that cover the dispute risk. For CBD specifically, add lab-certified COAs proving under 0.3% THC and GMP-compliant manufacturing. Most declines come from an incomplete file or a non-compliant website, not the product itself.
What does an underwriter look for in a nutra or CBD application?
One question drives everything: how likely is this account to generate disputes, regulatory trouble, or losses? To answer it they read your documentation for legitimacy, your website and advertising for compliance and dispute risk, and your financials for whether you can absorb chargebacks and a reserve. For CBD, they add product-specific proof: lab testing and compliant sourcing.
After 85,000 merchants, I can tell you the fastest approvals are the ones whose file answers the underwriter's questions before they ask. Below is the checklist we walk every nutra and CBD merchant through before we submit.
What documents do I need?
The baseline: a completed application with a personal guarantee, photo ID, a voided check matching the business bank account, corporate formation documents, your EIN paperwork, and financials scaled to your requested volume. Larger limits ($500K+ monthly) also want an executive summary covering your owner background, how you drive traffic, and sales projections.
| Requested monthly volume | Financials typically required |
|---|---|
| Under $100K | 3 months of business or personal bank statements |
| $100K to $250K | Add a year-to-date P&L and a balance sheet |
| $250K to $500K | Add a year of corporate or personal tax returns |
| $500K+ | 6 months of statements, two years of taxes, and an executive summary |
What does the underwriter check on my website?
This is where nutra and CBD applications most often stall. The site must clearly show the business name, a recognizable billing descriptor, product descriptions, full terms, and a refund policy the customer acknowledges at checkout. The checkout needs an SSL certificate, the card-brand logos, an opt-in checkbox above the buy button that is not pre-checked, and an email receipt with the descriptor, order ID, return policy, and support contact.
Two things get accounts declined fast: unsubstantiated health claims and prohibited imagery. Both are covered in the CBD compliance guide.
What does CBD need that regular nutra does not?
Product proof. For anything containing CBD, underwriters require a lab-issued Certificate of Analysis showing the product tests under 0.3% THC, plus evidence the manufacturer follows Good Manufacturing Practices. Merchants over $500K a month may also need their co-packer's details. This sits on top of a normal nutraceutical file, because CBD falls under the FDA's cannabis-product framework, and the acquirer has to know the product is what it says it is.
What kills a nutra or CBD application?
In rough order: unsubstantiated medical claims (curing a disease, guaranteed weight loss), a chargeback history near or above 1%, a free-trial or rebill model with no clear consent or cancellation, prohibited imagery (cannabis leaves, "420", celebrity or fake-news endorsements), missing COAs for CBD, and financials too thin to cover the reserve. Present your real chargeback and refund ratios honestly, alongside what you have done to improve them. You can preview how your account will read with our Merchant Risk Profiler.
How long does approval take?
For a clean, complete, compliant file, a specialist acquirer can often approve a nutra or CBD account in a few business days. What stretches it to weeks is a missing COA, a non-compliant website that needs fixes, or financials arriving one at a time. Getting the file and the site right before submitting is most of what we do in a custom payment processing setup.
